Temail uses Persona’s to create a departmental identity such as sender name and reply address. If you want to maintain a unique identity for each department (e.g., Wine Club, Tasting Room, Events, Wholesale), you can setup a Persona for each.
Click Persona from the menu to get a list of Persona’s and actions.
Edit: To edit a Persona, select one from the list and click Edit.
New: To create a new Persona, click New.
Persona Name: The name of the Persona.
Sender Name: Enter a friendly name of the person sending the email. This will be visible by the email recipient.
Sender Email: Enter the email address of the sender. This should be a valid email account that is known by your email provider.
Reply Email: Enter the email address to be used when the recipient replies to the email.
Bcc Email: Optional - Enter an email address to be Bcc'd when emails are sent. This is handy to keep a record of emails sent in a designated folder in your email client.
Note: Wine Software Back Office also manages a full record of emails sent.
Use Bcc?: Check this box to activate the Bcc Email feature.
Email Provider: Select from the list which email provider is to be used when sending email through this Persona.
Delete: Use to delete a Persona. If a Persona is in use by a Template, you will not be able to delete it. In that case, edit the Template Settings for each template to use a different Persona, then you will be able to delete it.
Save: Saves any edit made to the Persona.
Cancel: Cancels any edits made to the Persona.
Email Providers define the settings used from your email service provider that allow you to send email. These settings can be provided by your IT team, or email provider.
Click Email Providers from the menu to get a list of Email Providers and actions.
Edit: To edit an Email Provider, select one from the list and click Edit.
New: To create a new Email Provider, click New.
Provider Name: Enter an identifiable name for this Email Provider. e.g., Gmail.
SMTP Server: Your outgoing server name.
SMTP Port: The SMTP Port number.
Username: The Username of the email account.
Password: The password used for this email account.
Use SSL: Check this box if your email provider supports SSL encryption.
Delete: Use to delete an Email Provider. If an Email Provider is in use by any Persona items, you will not be able to delete it. In that case, edit the Persona(s) to use a different Email Provider, then you will be able to delete it.
Save: Saves any edits made to the Email Provider.
Cancel: Cancels any edits made to the Email Provider.
General Settings used by the Temail System.
Image Path: You can setup a default image path (optional) so you can add images using just the image filename without specifying the full path. This is best used when you are storing images on your domain server. Images that do not specify a path that begins with "http" will have this path added to the front of the image. This way, a path is optional, or can be explicitly defined.

Preview Customer: Enter a customer number from your Wine Software Back Office to be used during Template previews when designing mail merge templates.
Recommended: Create yourself as a customer in Wine Software Back Office and fill in all the customer fields and then use your own customer number here.
Preview Member: Enter a wine club subscriber number from your Wine Software Back Office to be used during Template previews when designing mail merge templates.
Recommended: Create yourself as a Subscriber in Wine Software Back Office, then use your subscriber number here. Be sure to set your membership inactive to avoid interfering with club shipments.
Preview Order: Enter an order number from your Wine Software Back Office to be used during Template previews when designing mail merge templates.
Recommended: Create an order for yourself in Wine Software Back Office, then use your order number here. Be sure to void your order after creating it to avoid interfering with sales and inventory reporting.
Job Processor: Temail uses a job processor to monitor and send emails. Emails are placed into a job queue. The Job Processor (runs in the background) monitors the queue and sends unsent emails. The job processor can be made Active (default) or Inactive with this setting.
Save: Saves any edits made to Settings.
Cancel: Cancels any edits made to Settings.
The Import/Export tool allows you to install, or share Settings, Stationery, Templates, Persona, Email Providers. Use to install new Stationery and Templates, or to Export for sharing, or technical support.
Click Import from the menu to open the import tool.
Select File to Import
Click the Select file to import button and browse for a file to import.
Next, you will be given a list of items found in the import file. Select the items you wish to import.
Import: Click the Import button. All selected items will be imported.
Note: This will overwrite any items with the same name, so be careful when importing and only import the items you are sure of.
Cancel: Closes the import dialog without importing any items.
Click Export from the menu to open the export tool.
Select Items to Export
Select the items to be exported.
Export: Click the Export button to export selected items. Enter a name of the export file and browse to a folder you want to place the export file and click Save to export.
Cancel: Closes the export dialog without exporting any items.
