Items

This article will show you how to add or edit items.

Navigate over to the Inventory Control menu and select Items from the Maintenance section.

It helps to be familiar with two toolbar buttons. The New button (white page) clears the screen so you can enter a new item. The Search button (magnifying glass) allows you to search, or lookup an existing item to view or edit. Let’s focus on adding a new item.

Add New Item

Click the New button to clear the screen.


Fields


Items Number: [Auto] – Click the Auto button to assign the next available item number.

You can also just type an item number of your choice. Item numbers can be alpha-numeric.

Barcode: Defaults to the same as item number, but it your products already have an assigned barcode, simply enter it here.

Ven Item Code: This is your vendors item number. Used primarily for merchandise, it can be useful when receiving merchandise because you can receive using your vendors part number.

Description: Enter the item description

POS Caption: This is an abbreviated description (20 characters) that is only used when printing a receipt from the point-of-sale.

Group: Choose an item group to assign the item to.

Vendor: This is the vendor you purchase the item from.

Class: Can be used for reporting. Class further categorizes your items. You could place a varietal in the class field for wine items.

ItemType: Choose between ‘Inventory Item’ and ‘Non-Inventory Item’. Use Inventory Item if you will be tracking a quantity on hand for the item.

% Alcohol: Required for alcohol items.

Sparkling: Check this is the wine is sparkling.

Size: Select a size from the drop-down. Required for alcohol items.

Case Qty: Number of units per case.

Label Type: Used for printing price labels. Choose Item Label to generate a price label with the Item No. as the barcode. Use UPC Label if the product already has a mfg. UPC code already on it.

Code Field: Preset Key 'List Key' designator at the point-of-sale. Enter a letter (A-Z), or a combination of letters such as "AB" to include this item on the list key designated for the letter(s) entered. (see: Preset Keys in Cash Register documentation)

Item is Inactive: Checking this box makes the item inactive. Inactive items are not visible by the POS, or the Adjust, Receive, Transfer screens.

Fields


Tax Level: Choose the appropriate tax level for this item.

Cost Method: Usually best to stick with the default value that appears. You can click the ? icon to get a definition of cost methods.

Replace Cost: This is your cost of the item.

Percentage: Used when the cost method is set to ‘% of Selling Price’. The value entered here must be between 0 and 100% and will calculate a cost of sale using this percentage of the selling price.

Allow Discounts: If the item cannot be discounted at the point-of-sale, check this box.

Items set as not discountable will sell using a discounted price if designated in the price levels for the item.

Prompt for Price: Check this box to have the point-of-sale prompt the sales person for a price entry when selling this item.

Price (levels): There are 6 price levels. Put in the Retail price and hit tab or enter. The other price levels will automatically calculate. You can override by typing over them if needed.

Fields


Web Item: Check this box if this item will be available through your web store.

Extended Description: Extended description.

These two fields are informational only and are viewable at the point-of-sale.


Stocking Levels Tab

Carried by Location: Check the boxes for each location that carries this item.

Min: Minimum stocking level. Used by the re-stocking report.

Max: Maximum stocking level. Used by the re-stocking report.

Reorder: This is the minimum order quantity that you can re-order. This is usually the case quantity.


Package Tab

Packages are used to bundle items together into one selling unit.

The package must be set as Non-Inventoried. When selling a package, the items in the package are what get counted/depleted from inventory.

Fields


Item: Choose an item using the Search glass or enter the item number of the item in the package.

Qty: The quantity of this line item in the package.

Price: The selling price of the item in the package.
