Adding and editing customers is easy and quick. Navigate over to the Sales & Fulfillment menu and select Customers from the Maintenance section.
It helps to be familiar with two toolbar buttons. The New button (white page) clears the screen so you can enter a new customer. The Search button (magnifying glass) allows to search, or lookup an existing customer to view or edit. Let's focus on adding a new customer.
Click the New button to clear the screen.
Customer Number: [Auto] - Click the Auto button to assign the next available customer number.
Mailing Address: Fill out the fields and notice as you fill them out that the Shipping Address is updated with the same information. This will save you time from having to duplicate your entries when the addresses are the same. If different, don't worry, you can always type over the Shipping Address fields.
When a zipcode is entered, the City and State fields are looked up and populated for consistency of spelling and to save you time typing them.
Phone numbers: It is best to put the primary calling number in the Day Phone field. The others can be used as needed.
When entering a phone number, only enter the digits and let the software format it for you.
Email address: This is their primary email used for general communication.
Shipping Address: If different from the mailing address, go ahead and put their shipping address in.
The Validate button will check the validity of the City, State and Zipcode entered against a US Postal database.
Customer Type: Select from the drop-down list.
Price Level: Select from the available price levels.
Important!! If the customer you are adding is a club member, select Retail as the price level. Their membership status will drive the pricing automatically to ensure the customer gets the proper membership benefits.
Source: Use Source to identify how the customer found you. Examples include: Tasting Room, Internet, Event, Referred by Friend.
User Fields: These can be used for anything you want and are used to filter report results, or in mailings.
Birthdate: This is necessary for compliance reporting and provides age demographics when doing marketing activities.
Credit Card: You can store a credit card on file. Click the helper button (folder icon) to open the card entry screen, click New and type in the card information. It is a good idea to select the 'Set Primary' button when done entering the card information.
Notes: Enter notes for this customer. Click the 'Add >>' button to stamp your note with the date and your username. By clicking the add button, the note will also be added to the top of the notes field keeping the most recent note in the current view.
You can also set a Register Note by clicking the 'Show Register Notes' button to expose register notes. As its name implies, register notes are displayed at the register. You can optionally check the box to 'Pop-up at Register' to make this note pop-up as an alert when the cashier looks up the customer.
Tags are used to create customer groups. Click the Tags tab, select a Tag to add and click the right arrow, (or visa-versa to remove a Tag). Tags can then be used as filters to select specific customer groups for campaigns and other marketing activities.
Click the Memberships tab to see clubs the customer belongs to. Here you can click the helper button to add or remove a customer's membership.
